ECE Substitutes, Inc. (“Company,” “we,” “us,” “our”) operates http://www.ecesubs.com and related pages, landing pages, and applications (collectively, the “Site”). This Privacy Policy explains how we collect, use, disclose, and safeguard personal information, including information collected via Meta Business Tools (e.g., Facebook/Instagram Pixel, Conversions API, Custom Audiences, and Lead Ads).

By using the Site, you agree to this Privacy Policy. If you do not agree, please do not use the Site.


1) Information We Collect

A. You provide to us

  • Contact data (name, email, phone, address)

  • Application/work data (resume, work history, availability, certifications such as CPR/First Aid, background-check status)

  • Communications (emails, messages, survey responses)

  • Preferences (age group interest, commute radius, scheduling)

B. Collected automatically

  • Device/usage data (IP address, device IDs, browser type, pages viewed, referring/exit pages, timestamps)

  • Cookies, pixels, and similar technologies (see Cookies & Tracking below)

C. From third parties

  • Marketing/analytics partners (including Meta Platforms)

  • Background screening, HR, and payroll providers (if you apply or work with us)

  • Referrals and public sources as permitted by law


2) How We Use Information

We process personal information to:

  • Operate and improve the Site and services

  • Recruit, screen, place, and manage ECE substitute assignments (including full-time/long-term)

  • Communicate about opportunities, shifts, and updates (email, SMS, phone)

  • Personalize content, measure performance, and run advertising/retargeting

  • Detect, prevent, and address security or fraud

  • Comply with legal obligations and enforce our terms

Legal bases (GDPR/UK GDPR) where applicable include: consent, contract performance, legitimate interests (e.g., recruiting and marketing to professional candidates), legal obligations, and vital interests/safety.


3) Meta (Facebook/Instagram) Standards & Expectations

We use Meta Business Tools to understand Site traffic and to show relevant opportunities.

What we send to Meta

  • Pixel/Conversions API event data (page views, button clicks, form submissions, application events)

  • Optional hashed identifiers (e.g., email, phone) to improve match quality

  • Campaign performance data (ad impressions, clicks, conversions)

How we use Meta services

  • Measurement & analytics: to understand which pages and ads perform

  • Advertising: to reach people who may be interested in our services and job opportunities (including Custom Audiences, Lead Ads, and lookalike audiences)

  • Special Ad Category (Employment): We configure employment category settings and avoid targeting based on sensitive characteristics (e.g., age, gender). We do not use personal data to discriminate.

Your choices with Meta

  • You can manage ad preferences in your Facebook/Instagram settings and opt out of interest-based advertising on your device or browser where available.

  • You can opt out of Company’s cookies/pixels via our Cookie Preferences tool (see below) or by disabling cookies in your browser.

We follow Meta’s applicable terms and policies for data sharing, measurement, and advertising. Meta may use data received for its own purposes per its policies.


4) Lead Ads & Readiness Forms (Quality Gate)

If you submit a Meta Lead Ad form or other readiness/application form, we collect the data you provide (e.g., experience, availability, commute radius). We may automatically score leads to prioritize follow-up. You can request deletion or correction (see Your Rights).


5) Cookies & Tracking

We use:

  • Strictly necessary cookies (site functionality, security)

  • Analytics cookies (e.g., Meta Pixel events, other analytics)

  • Advertising cookies (to deliver/measure ads and limit frequency)

Manage preferences: Use our Cookie Preferences link (insert link) to accept/decline categories. You can also disable cookies at the browser level; some features may not work without cookies.


6) Sharing Your Information

We share information with:

  • Service providers / processors: hosting, analytics, advertising partners (including Meta), CRM/ATS, background-check vendors, payroll/HR, communications/SMS/email tools

  • Business transfers: as part of a merger, acquisition, or asset sale

  • Legal / safety: to comply with law or protect rights, safety, and security
    We do not sell personal information as “sale” is defined by many state laws. If we ever engage in targeted advertising or “sharing” as defined by some state laws, we will honor opt-out requests (see State Privacy Rights).


7) Data Retention

  • Applicant/candidate data: retained while actively recruiting and for up to 3 years after last activity (or longer if required by law).

  • Employee/payroll records: per statutory requirements.

  • Marketing data: typically 24 months after last interaction or until you opt out.
    We may retain data longer if necessary to comply with legal obligations, resolve disputes, or enforce agreements.


8) Security

We implement reasonable technical and organizational safeguards (encryption in transit, access controls, least-privilege practices). No method of transmission or storage is 100% secure.


9) International Data Transfers

If we transfer personal information outside your country (e.g., to the U.S.), we use lawful transfer mechanisms (e.g., SCCs/UK IDTA or other approved safeguards).


10) Your Privacy Choices & Rights

SMS texts: Reply STOP to opt out (message/data rates may apply).
Cookies/ads: Update Cookie Preferences and adjust browser/device settings; manage Meta ad preferences in your account.
